Checking for existing occupancies before creating a new occupancy is an important step to avoid creating duplicate occupancies in APX. While the software does prevent you from creating exact duplicates (e.g. same business name, same exact address), any difference in the name or address will allow for a duplicate to be created.
Whether creating the new inspection request in the SmartCapture Mobile App or through the CityScape Admin portal, users are able to check for an existing occupancy before creating an inspection and associated occupancy.
Checking for an existing occupancy in the SmartCapture App
When in the SmartInspect tab of the SmartCapture app, you can check for existing occupancies before creating a new occupancy for your inspection. Doing this can help avoid a duplicate occupancy being created. You can check for an existing occupancy using either the Near Me List, or using the Inspection Occupancy Search feature.
To Check for an existing occupancy using the Near Me List
- In SmartCapture, select the Inspections tab.
- Drop a user defined location pin by either tapping and holding on the map, or by entering in the Street Number, Street Name and City in the search bar and selecting Search.
- In the Occupancy Selection View, scroll through the Near Me list located at the bottom of the screen.
- You can adjust the results of the Near Me list by zooming the map in or out.

- To select a search result from the Near Me list, select Create next to the occupancy.
The existing occupancy will be selected, and the Inspection Request Creation View will open.
To Check for an existing occupancy using the Inspection Occupancy Search
- In SmartCapture, select the Inspections tab.
- Drop a user defined location pin by either tapping and holding on the map, or by entering in the Street Number, Street Name and City in the search bar and selecting Search.
- In the bottom bar, select Search to open the Inspection Occupancy Search.
- In the Inspection Occupancy Search, type a search term (occupancy name or address) into the search bar.
- To select a search result from the Search Results list, select Create next to the occupancy.
The existing occupancy will be selected, and the Inspection Request Creation View will open.
Checking for an existing occupancy in CityScape Admin
When in the SmartInspect tab of CityScape Admin, users can not only create inspection requests for occupancies, but also check for an existing occupancy before creating a new occupancy.
To Check for an existing occupancy in the Inspection Request Form
- In CityScape Admin, select SmartInspect.
- Select Inspection Requests.
- Select New Request.
- In the Inspection Request Form, enter a search term (occupancy name or address) into the search bar.
- To select an occupancy, select a search result from the dropdown list.
- The address information will be greyed out to ensure that the linkage happens properly, but the occupancy name can be updated.
The existing occupancy will be selected, and the remaining items of the inspection request can now be filled out.
